Description:

The Manager, Administrative Services will provide administrative support to AVEO’s executive officers and the Chief Executive Officer. This position requires thorough knowledge of company operations, policies and procedures, and the incumbent must be trusted to handle details of a highly confidential and critical nature. In addition, he/she will collect and prepare information for use in discussions/meetings of executive staff and outside individuals. The Manager, Administrative Services will also prepare and distribute presentation materials for board of director meetings. The incumbent will be responsible for professional communication with high-level contacts of a sensitive nature inside and outside the company.

Additionally, the Manager, Administrative Services will supervise the administrative staff responsible for overseeing day-to-day operations at AVEO. This includes, but is not limited to, the following:

  • Reception, greeting visitors, triaging voicemail
  • Travel coordination and expense reporting, as needed
  • Outgoing mail/shipping; distribution of daily incoming mail/packages
  • Overseeing office maintenance/janitorial services
  • Record retention, archiving, and/or disposal
  • Assist with the coordination of company events and catering requests

Qualifications:

  • Bachelor’s degree or equivalent
  • 10 years of administrative experience with 5 of the years supporting C-Suite
  • Experience in biotechnology/pharmaceutical industry preferred
  • Proficiency with MS Outlook, Word, PowerPoint, and Excel
  • Polished written and verbal communication and attention to detail
  • Ability to be flexible, proactive, resourceful, and efficient
  • Must be available for business communication in emergency situation after regular office hours
